POSITION SUMMARY
The Head of Event Management is responsible for planning, leading, and overseeing the overall strategy and execution of revenue-generating events under the Revenue Generation Cluster. This role requires strategic leadership, efficient operational management, and strong budget and risk control capabilities to ensure that every event achieves the objectives of both the Client and the organization while complying with established professional standards.
SCOPE OF WORK & KEY RESPONSIBILITIES
1. Strategic Planning & Event Development
Develop event concepts, themes, and direction aligned with organizational objectives and client requirements.
Prepare comprehensive proposals including objectives, concept recommendations, program flow, logistical requirements, and impact analysis.
Develop detailed action plans (timelines), including workflow charts and project milestones.
Identify strategic collaboration opportunities and value-added elements to enhance event impact.
2. Budget Management & Cost Control
Prepare detailed budgets, including cost projections, procurement planning, and profit margins.
Monitor expenses to ensure compliance with approved budgets.
Evaluate vendor quotations and ensure value for money.
Prepare event financial reports for top management.
3. Operations & Execution Management
Coordinate overall event execution, including logistics, technical requirements, protocol, and safety.
Ensure all requirements such as audio-visual systems, stage setup, lighting, multimedia, and catering function smoothly.
Ensure compliance with safety guidelines, official protocols, and local authority requirements.
Act as the Event Organizer on the event day.
4. Leadership & Team Management
Lead and supervise the event management team.
Delegate tasks effectively and monitor staff performance.
Provide guidance, training, and periodic performance evaluations.
Foster a high-performance and solution-oriented work culture.
5. Relationship & Stakeholder Management
Manage relationships with clients, government agencies, sponsors, and strategic partners.
Conduct coordination meetings and project proposal presentations.
Represent the organization in official negotiations and discussions.
6. Vendor & Supplier Management
Identify, appoint, and evaluate vendors such as PA system providers, stage contractors, multimedia teams, and caterers.
Ensure vendors comply with agreed scope of work and quality standards.
Oversee contracts and service agreements.
7. Risk Management & Contingency Planning
Identify potential risks before and during events.
Develop risk management strategies and contingency plans.
Handle crisis situations professionally and promptly.
8. Post-Event Reporting & Analysis
Prepare post-event reports, including program effectiveness analysis, KPI achievements, and recommendations for improvement.
Present reports to management.
REQUIREMENTS & QUALIFICATIONS
Bachelor’s Degree in Business Management, Marketing, or a related field.
Minimum 7–10 years of experience in professional event management.
Proven experience managing medium to large-scale events (government official events, corporate functions, launches, festivals, carnivals, etc.).
Excellent leadership, communication, and negotiation skills.
Strong proficiency in budget preparation and cost control.
Ability to work under pressure and meet tight deadlines.
Willingness to work outside office hours, including weekends and public holidays when required.
An established industry vendor network is an added advantage.
POSITION SUMMARY
The Event Management Executive is responsible for assisting in the planning, coordination, and execution of events to ensure that each program runs smoothly according to plan. This role requires a proactive, organized individual who is able to work effectively in a dynamic environment.
SCOPE OF WORK & KEY RESPONSIBILITIES
1. Event Planning Support
Assist in preparing proposals, implementation schedules, and event checklists.
Support the development of event programs and technical requirements.
2. Logistics & Operations Coordination
Coordinate venue bookings, audio-visual systems, stage setup, and event equipment.
Manage guest registration, invitation lists, and seating arrangements.
Ensure event materials such as backdrops, buntings, media kits, and souvenirs are prepared and available.
3. Vendor & Supplier Management
Liaise with vendors to obtain quotations and confirm bookings.
Monitor vendor attendance and performance on event day.
4. Promotion & Documentation Support
Assist in preparing promotional materials (posters, social media content, press releases).
Manage documentation including correspondence, permits, and event reports.
Collect data and participant feedback for post-event analysis.
5. On-Site Event Duties
Be on-site to ensure the smooth execution of the program.
Handle registration, coordinate VIP guests, and resolve immediate issues.
Act as liaison officer between the technical team and the Client.
REQUIREMENTS & QUALIFICATIONS
Bachelor’s Degree in a related field.
3–5 years of experience in event management.
Strong communication and teamwork skills.
Proactive, organized, and possess strong problem-solving abilities.
Possess a valid driving license and willing to travel to event locations.
Proficient in Microsoft Office (Word, Excel) and Canva.
Skills in graphic design, multimedia, or AV system handling are an added advantage.
